Establishing and Managing System Users

System User roles are not pre-defined in Limo Anywhere, although each System User can be set up to have access customized to fit their job roles.


NOTE: Limo Anywhere complies with the Payment Card Industry-Data Security Standards (PCI-DSS) terms.

Adding a New System User

  1. Click on the 'My Office' icon in the toolbar.
  2. Open the 'Company Settings' tab.
  3. Click on the 'System Users' button.
  4. Fill in the User's 'First Name', 'Last Name', 'Email Address', and make up a 'Username'.
  5. Click the 'Continue' button.


IMPORTANT NOTE: It is imperative that their email address is entered correctly because once the 'CONTINUE' button is clicked the system user will be emailed a link that allows them to set up their own password an 'Support Call-in Pin' (AKA password reset pin) as required by PCI-DSS.

Restricting
System User Access

Limo Anywhere has a number of security features that help protect your business and your customer's data. You can keep your account secure by restricting system user access access to certain areas of Limo Anywhere, restricting log-in access to certain times and days, and/or restrict access from a certain computer via IP or onlly allow system users to log-in from a certain IP address. Setting up these types of restrictions will reduce the possibility of unintentional errors or malicious acts.

NOTE: By default all new System Users do not have any restrictions applied to their profile which gives them full access to Limo Anywhere on any computer. System Users restrictions can be set at any time.


Restricting Access By Module

Under 'Restrict Access by Module' check the specific parts of the system to DISALLOW access to this user.

In the example below this user has been restricted from 'My Office', 'Reports', 'Dispatch', 'Settlement', 'Receivables', 'Payables'. Make note of the yellow box which warns that by default a new user has access to every module in Limo Anywhere until restricted by selecting that module as below.


Further detailed restrictions can be made in each module by clicking the 'blue arrow' indicator next to the module name thus exposing sub portions of the module. Illustrated below all selections have been expanded for illustration purposes.  For example here a System User has been blocked from Receiving or Applying Payments in Receivables but is allowed to Create Invoices. 

NOTE:  When a parent category in the module is blocked all the sub-portions will be blocked by default as well.




Restricting Access by Day and Time

There are two ways to 'Restrict Access by Schedule'.
  1. Access can be allowed between a certain start and end date. This may be useful for temporary employees or an employee that is a contractor for a specific period of time. In the example below the employee is allowed access only between October 7th, 2013 to December 31, 2013.



  2. Access can be allowed based on an employee's work schedule. In the example below the user is allowed access only between the hours of 9AM and 6PM, Monday through Friday.



 

Restricting Access From a Specific Computer

Under 'Restrict Access by (static) IP Address' enter the static IP addresses for the computers that are allowed to access the system by this System User in 'Allowed IPs' field. It is also possible to block access from a static IP addresses if know by entering them in the 'Blocked IPs' field.





NOTE: All of the restrict access features can be used alone or in tandem with each other. It is possible to restrict by module, schedule, and IP address simultaneously for any or all System Users.

New System User Password Set Up Process

  1. The new system user will need to check their email address that was set up in there system user profile. The email will look similar to the one below.
  2. Click the hyper link in the email.



  3. Set up the 'Password' using the PCI-DSS criteria listed below the 'Pin'.
  4. Set up a 'Pin' so that they can reset there password when needed.
  5. Click the 'Submit' button.

Blocking a System User from Accessing Limo Anywhere

  1. Click on the 'My Office' icon in the toolbar.
  2. Open the 'Company Settings' tab.
  3. Click on the 'System Users' button.
  4. Select the User you need block from Limo Anywhere from the 'Users' list.
  5. Click the 'Edit User' button.
  6. Set the 'Activation' drop down box to 'Inactive'.
  7. Set the 'Lock-out' drop down box to 'Locked'.
  8. (OPTIONAL STEP) Add a reason for the the 'Inactive' and 'Locked' status.
  9. Click the 'Update User' button.

Resetting a System User Password


A system user can reset if they forget their password or need to reset it for security reasons at anytime.

NOTE: PCI-DSS prohibits Limo Anywhere Personnel from distributing Passwords or Support Call-in PIN (Password reset pins) except as noted below. Therefore it is imperative that Users establish a PIN that is easy to remember much like the PIN they might use on their bank debit/ATM cards.

NOTE: A valid email address needs to be on file with that User ID and that the User has to knows their Support Call-in PIN to successfully reset their password.



  1. Enter an incorrect password at the log in screen.
  2. A red box will then display with the message 'Either the Company ID, Username or Password you entered is invalid. You can reset your password by following this link'.
  3. Click on the blue hyper link labeled 'link' to begin the password process.
  4. Enter your 'Company ID'.
  5. Enter your Username.
  6. Enter your PIN (Support Call-in Pin).
  7. Click the 'Submit' button.
  8. An email will be sent to the email address under the system user profile.
  9. Click the link in the email.
  10. Enter the new 'Strong Password' following the PCI-DSS guidelines on the screen above.
  11. Click the 'Submit' button to save your new password and access Limo Anywhere.

IMPORTANT NOTE: Limo Anywhere personnel are prohibited from disclosing your PIN to you over the phone. They may email the PIN to the valid email address on file with the User ID, if the person requesting us to do so can provide the last four digits and expiration date of the credit card on file that Limo Anywhere uses for monthly billing purposes.
