Everything to Know About the Online Reservation System 2.0 and 3.0

 

The Limo Anywhere On Line Reservation System (ORES) can be utilized to extend your sales efforts.  The On Line Reservations System can be equivalent to a 24/7 reservation agent for your company that never takes breaks. The ORES provides a seamless way for customers to open and manage accounts, request quotes, and book or change reservations through your company's website.

Linking the ORES to the Company's Website

The ORES is linked to the customer website by either a direct link to the ORES page hosted at Limo Anywhere, or by embedding the ORES in an iFrame within the company's website.

Direct Link-ORES 2.0

A button or buttons are placed on the company's website for the various functions.  For example " Make a Reservation", "Create an Account", or "Request a Quote".   Each of these buttons would link to a particular function.  It is not necessary to link to each function, and in that case a button can be used to link to the ORES landing page.  Note:  COMPANYID in the below links is replaced by the company's Limo Anywhere Company ID.

Direct Link-ORES 3.0


The same method is used for linking the ORES 3.0 as described above except a single button is used to go to all ORES 3.0 functions.  That button will link to https://book.mylimobiz.com/v3/COMPANYID   Note:  COMPANYID in the link is replaced by the company's Limo Anywhere Company ID.


iFrame

In a page created in the website the web designer can embed the ORES code into an iFrame.   The process is the same regardless of version ORES 2.0 or 3.0.  Only the code is different as illustrated below.

Height and width attributes can be altered as needed.

Note:  iFrames have some issues with various browsers periodically, and some browsers when updates are performed on the browser program.   In short using an iFrame requires an acceptance of some instability that Limo Anywhere cannot control.   The recommended method of linking the ORES is the Direct Link method.


Formatting the ORES to Look Like the Company's Website

With the introduction of ORES 4.0, we currently no longer format the ORES 2.0 and 3.0 to match a company's website. However, we can get ORES 2.0 and 3.0 iFrame ready for you to use in iFrame or Direct link.

Setting up the ORES in Limo Anywhere

Access the ORES settings ....

  1. Click on My Office
  2. Click on the Company Settings tab
  3. Click on the Online Reservation System button
  4. The settings are divide into three sections.



Global Settings

Global Settings apply to both the ORES 2.0 and ORES 3.0.  Below is an image of each section, and below it an explanation of each setting in that section.   The default setting for each setting is in brackets <>.

Allow Customers to use Online Reservation System?:  <No>  Select Yes to turn the ORES on, and allow the company's customers to access it.   
If not allowed, message displayed to your customers:  If the ORES system is turned off by having the above setting set to No; this is the message that will display when the company's customer access the ORES page on the company's website.   Note:  This message uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.
Allow Quote Requests?:  <No>  Select Yes to turn the Quote Request within the ORES on, and allow the company's customers to submit Quote Requests.   
Allow New Account Creation?:  <No>  Select Yes to turn the Create New Account function within the ORES on, and allow the company's customers to submit Create New Accounts.   

Click Update Global Settings to Save


Default Date Format (Online Res):  <MM/DD/YYYY>  Choose from six formats of date, month, and year as best suits the customers of the company.
Default Time Format (Online Res):  <HH:MM AM/PM> Choose from four formats of minutes, hours and AM/PM as best suits the customers of the company.
Default Reservations Status (Online Res): <Online & eFarm-in> This setting is extremely important and should not be altered. It enables new reservations made through the ORES to be easily found on teh Reservations page on the Online & E-Farm-in tab.
Message displayed when customer logs in:  This is the message displayed to a customer when they log into their account through the ORES.  Note:  This message uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.
Reservation cut-off time begins at:  <12:00AM>  Enter the time each day that the ORES will be automatically turned off for new reservations.
Reservation cut-off time ends at:  <12:00AM> Enter the time each day that the ORES will be automatically turned on for new reservations.

Click Update Global Settings to Save




Allow Changes & Cancellations Through ORES:  <No>  Select Yes if an account is to be allowed to make changes to a reservation previously made in the ORES.
Disallow Reservation Less Than: <1 Hour Before Trip Time>  Click the drop down list to select between 1 and 120 Hours Before Trip Time that the creation of new reservations will not be allowed.
Disallow Modifications Less Than:  <120 Hours Before Trip Time>  Click the drop down list to select between 1 and 120 Hours Before Trip Time that the changing a reservations will not be allowed.
Disallow Cancellations Less Than:  <120 Hours Before Trip Time>  Click the drop down list to select between 1 and 120 Hours Before Trip Time that the cancellation of a reservations will not be allowed.
Routing Requirements:  The information required for each routing point type below can be defined by clicking to check the box next to that routing field.  A list of the fields for each routing point type is below.

Addresses:  Street/Address/Location, City, State/Province, Zip/Postal Code.
Airports:  Airports & Airline, Flight Number, Arrival/Departure City, Terminal/Gate, ETA/ETD
Seaports:  Port of Call, Cruise Line, Cruise Ship, ETA/ETD
Allow users to select Airport Pick-up Instructions On Airport Pick-ups?

Is Child Seat Option Visible In ORES? <No>  Select Yes if you the option for your customers to request Child Seats to be possible 
Is Occasion Option Visible In ORES?  <No>   Select Yes if the option for customers to enter the Occasion for which they are engaging your services.  For example Wedding or Prom.

Click Update Global Settings to Save




Default Rental Agreement:  <Standard Rental Agreement>  The Standard rental Agreement which is in Limo Anywhere by default is selected.  If other rental agreements are established they can be selected here.  For more information on Rental Agreements see Managing Rental Agreements.
Require Strong Passwords for accounts created via Online Reservation System: <Use Standard Passwords>   Select either Standard Passwords which have no format requirement, or Strong Passwords that are required to be a minimum of 7 character in length, and contain at least one of each character type Upper Case Letter, Lower Case Letter, Number, and Special Symbol such as #$%&*? .
Accepted Payment Methods:  <Not Selected>  Select the Payment Methods that will be accepted through the ORES.
Require Credit Card on All Reservation (Except Direct Bill): <No>  Select Yes if it will be required that a customer provide the credit card information at the time the reservation is made regardless of whether the card will be charged at the time the reservation is made or at a later time. 
Credit Card Required Disclaimer:  This is the message displayed to a customer that informs them when the credit card will be charged.  It should be altered to reflect the policies of the company.  Note:  This message uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.
Require Billing Address on Credit Card Transactions: <No>  Select Yes if as part of the required credit card information the Billing Address of the credit card is required.
Select Payment Gateway to use in Online Reservation System <Not Set>  Select the Payment Gateway that is to be used when ORES reservations are processed.  This setting is only necessary if the ORES reservations are processed automatically when the reservations are made.  To set that choice go to My Office > Company Settings > Add On Modules > Payment Gateway Tab.  

Click Update Global Settings to Save

Automatically Process Credit Cards on ALL Online Reservation (when rate is auto-calculated) <No>  Select Yes if the credit card entered for an ORES reservations is to be processed at the time the reservations is made.    If Yes, Select Type of Transaction  <Not Selected>  Select either Authorize if the credit card transaction is to verify the card and funds available to cover the amount of the reservation; or Authorize & Capture if the credit card transaction is to charge the card and process the transaction fully.   For more information on Payment Gateways see Setting Up A Gateway.

Click Update Global Settings to Save



Auto-Approve all reservations submitted via Online Reservation System?: <No>  Select Yes if reservations submitted via the ORES are to be automatically accepted by the Company. If this is selected Yes ORES reservations will be in the default status as set up in My Office > Company Settings > Company Preferences > General > Default Status (Back Office). The default status ORES set above will be ignored. The reservations will also not be in the On Line & EFarm in tab but will be in the New Reservations tab.
If "Auto-Approve" Set to No, Message to Display:  This is the message displayed to a customer that informs them of how the reservations will be handled and what they can expect to happen next when the "Auto-Approve" is set to No.  Note:  This message is uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.
Calculate trip total and display pricing to customers?: <Yes>  Select Yes is the total for the trip is to be displayed to the customer. 
If yes, Calculate Hourly Service In:  If the above setting is set to Yes the choice is to calculate rates in One Hour or Half Hour Increments.  If One Hour a trip that is 1 hour and 15 minutes would be calculated as 2 hours.  If Half Hour the same trip would be calculated as 1 & 1/2 hours.

Click Update Global Settings to Save



ORES 2.0

ORES 2.0 settings apply to the ORES 2.0 along with the Global Settings.   Below is an image of each section, and below it an explanation of each setting in that section.   The default setting for each setting is in brackets <>.


General Settings

Which tabs (type of rates) should customers see when booking a trip?  <Not Selected>  Select one or more of Point-to_Point Rates, By The Hour Rates, By Passenger Rates, or Promo Rates.

Click Update ORES 2 Settings at the bottom of this page to save.


Quick Reservation

Allow Quick Reservation?: <No> Select Yes to turn the Quick Reservation function on.  Quick Reservation allows making a reservation without creating an Account and logging in. Quick Reservation Label In Header Menu: <Quick Reservation> Enter the text for the Quick Reservation Label in the ORES 2.0 Header. For example it could be "New Reservation". "Make a Reservation", or "Click Here to Book a Trip".

Instant Rate Lookup

Rate Lookup function requires the optional Instant Rate Lookup module.   Contact Limo Anywhere Support for details.

Allow Rate Lookup?:  <No>  Select Yes to turn the Rate Lookup function on.  Rate Lookup allows getting a rate ofr a point ot point or hourly based trip without creating a reservation, or even entering complete routing information.
Rate Lookup Label In Header Menu: Enter the text for the Rate Lookup Label in the ORES 2.0 Header.  For example it could be "Whats the Rate?". "Get a Rate", or "Click Here to See the Rate".

Rate Lookup Page Title:  The Rate Lookup Feature will open in a pop up window.  Enter the text for the Rate Lookup Title on that page.  For example it could be "Whats the Rate?". "Get a Rate", or "Click Here to See the Rate".  
Rate Lookup Page Text:  These are brief instructions to the company's customers that instruct on using the Rate Lookup function.  Note:  This message uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.
Select options to display on the Instant Rate Lookup:  Select the variuos routing point types that the customer will be able to enter to determine a rate.  Choose from Airport/Heliport, Zip/Postal Code, City/Town, Hotel/Restaurant, and/or Seaport.
Rate Lookup Disclaimer:  This disclaimer establsihes a policy on displayed rates for the company.  Note:  This message uses a limited number of dynamic tags to populate information from Limo Anywhere.  The tags will be values between "#" signs, and the list of them can be viewed by clicking the "Help" link.

Analytics and Conversion

Analytics:  Track your visitors by utilizing Google Analytics. Visit www.google.com/analytics to create an account.  You should receive a tracking code from your Google. Paste the UA code into the field above. The tracking code will then be placed in the <head> section of your Online Reservations page so it will track users on all of your booking pages. 
Conversions:  A conversion is an action that a customer takes on your site that has value to your business, such as a booking a reservation. Conversion tracking is often used with Pay Per Click (PPC) ad campaigns such as Google AdWords. You should receive a conversion code from Google. Paste the conversion codes into the fields above, which will then automatically be placed in the "Thank You / Success" page your customer sees after booking a reservation.

ORES 3.0
The ORES 3.0 is our new and improved reservation system for your clients. The ORES 3.0 has a more user friendly process, and can be customized to meet your company's unique service offerings and pricing options.

The settings on each tab will be described below.  Default values will appear in brackets <>.

Settings Tab

Select Alias:  <Parent Company ID>  If the company utilizes the Company Alias module to operate multiple companies under a single Limo Anywhere, and has purchased multiple ORES modules; the Company ID of the alias company can be selected to apply these settings to the applicable ORES.  See the Knowledge Base article Company Alias Module
If rates are not found, do the following:  <Skip Rate screen and take user to final step>  Choose one of the following...
Skip Rate screen and take user to final step:  Allows the customer to complete the reservation without a price.
Display a message on rate screen and prompt user to call:  Displays a message that a rate is not avialble for the routing submitted, and does not allow the completion of the reservation and prompts the customer to call the office to complete the reservation.
Display a message on rate screen and allow user to continue:  Displays a message that a rate is not avialble for the routing submitted, and does allow the customer to complete the reservation without a price.
Single Line Address Input
You can utilize the Google Places API to implement Single Line Address Input for your clients. As your clients begin to enter an address on your forms, we will show filtered results based on their input. This will save your client’s time and make sure you get a verified address. You will need to sign up to use the Google Places API.
Single Line input enabled:  <Not Checked> Click to check and enable Single Line Address Input
Google API Key:  Copy and paste the Google API Key provided when sign up with Google Places is complete.

Templates
Templates help determine which fields to display when your client is booking a trip online. Each template allows you to choose the routing types for PU and DO locations, as well as options for allowing or requiring round trips. 

Select Alias:  <Parent Company ID>  If the company utilizes the Company Alias module to operate multiple companies under a single Limo Anywhere, and has purchased multiple ORES modules; the Company ID of the alias company can be selected to apply these templates to the applicable ORES.  See the Knowledge Base article Company Alias Module
+Add Template:  Click this link to open the Add New Template screen.

Name:  Enter a name for the template.  The name should be descriptive of the service type for which the template is for such as To/From Airport, Point to Point, or Hourly.   There can also be special event type templates like Prom or Wedding.
 
From and To:  Select the routing point type that is applicable from a choice of Airport, Address, or Seaport.   You can also select extended versions of these that require more detailed input.
Type:  Select either Hourly or Point To Point
Return Trip Option: <unchecked>  Click to check and offer the ability to book a round trip (return trip).
Require Return Trip:  <unchecked>  Click to check and require the user to book a round trip (return trip).
Click Add to save the new template, or click Back to Template List to erase the entry.

Edit A Template
Click the Edit button adjacent to the template to be changed.

Change any fields as necessary.   See the Add Template section for explanations of the fields.
Click Update to save changes, or click Back to Template List to erase the changes.

Delete a Template
Click the Delete button adjacent to the template to be deleted.

Click Delete to process the deletion, or Back to return to the Template List.   Note that if a template is deleted all Categories and Sub Categories using the template will be deleted as well.

Categories
Categories are the selection options your customers will see on the main booking page when they attempt to book a trip. For Example: You might have "Airport Transfer" as a main category, with sub-category options for "Airport Pickup" and "Airport Dropoff".

+Add category  Click this link to open the Add New Category screen.

Name:  Enter a name for the category.  The name should be descriptive of the service type for which the category is for such as To/From Airport, Point to Point, or Hourly.   There can also be special event type categories like Prom or Wedding.
Service Type:   Select the service Type that will apply to this category.  See the Knowledge Base article Managing The Service Type List
Hourly Rate Matrix:  <default>  The default hourly rate matrix is automatically selected.  To change this select a different rate matrix from the drop down list.  See the Knowledge Base article Establishing and Managing a Hourly or Per Passenger Rate Matrix
Point to Point Matrix:  <default>  The default fixed rate matrix is automatically selected.  To change this select a different rate matrix from the drop down list.  See the Knowledge Base article Establishing and Managing the Fixed Rate Matrix  
Template:  Select the template that is to be used for this Category  
Rental agreement:  Select the Rental Agreement that will be applied to a trip booked in this category 
Promo code: <Not Selected>  Select a Promo Code that would be applicable anytime a trip was booked in this category.  This could be used if for a given period of time to stimulate business you wanted to give a currency amount or percentage discount on a trips booked in this category.
Quote template:  <Not Selected>  Select the Quote Template that will automatically be applied when responding to a Quote made in this category.  
Multiple Quote template:  <Not Selected>  Select the Multiple Quote Template that will automatically be applied when responding to a Multiple Vehicle Quote made in this category.  
Prompt for customer information on step 2 <unchecked>  This setting is not active at this time
Hide "Email This Quote to me" button on step 3 <unchecked>  If checked it will not give the customer an option to receive quote response via email
Icon <Not selected>  Choose one of the icons as illustrated below

Click Update to save changes, or click Back to Category List to erase the changes.

Sub-Categories

Each Category can have one or more Sub-Categories.  Click the + Add Sub-Category button and follow the same steps for adding a Category.

Editing a Category/Sub-Category
Click the Edit button adjacent to the Category/Sub-Category to be changed.

Change any fields as necessary.   See the Add Category section for explanations of the fields.
Click Update to save changes, or click Back to Category List to erase the changes.


Enable/Disable a Category/Sub-Category
Click the Disable button adjacent to the category/sub-category to be disabled.  The category/sub-category is now disabled and will not appear on the ORES 3.0 page, and the category/sub-category now shows as Enable.  


Delete a Category
/Sub-Category
Click the Delete button adjacent to the category/sub-category to be deleted.  

Click Delete to process the deletion, or Back to return to the Category List. 

Note:  Disabling or deleting a category will have the same effect on any sub categories under it.

Quick Form/CSS
These settings are for formatting a Quick Reservation form within your website as CSS(cascading style sheet).  These settings are for web site developers to utilize.



Analytics

Track your visitors by utilizing Google Analytics. Visit www.google.com/analytics to create an account.  You should receive a tracking code from your Google. Paste the UA code into the field above. The tracking code will then be placed in the <head> section of your Online Reservations page so it will track users on all of your booking pages. 

Click Update to save changes.

Conversions

ORES without a Limo Anywhere Core System


An Online Reservation-only, or ORES-only Limo Anywhere system is a less expensive option with very limited functionality in the Back Office.  It gives you a way to view reservations which customers have booked on a web site form which we will create for you. In order to make reservations, or many other things you will need to upgrade to a full Limo Anywhere system.
