Lana, Your AI Assistant — A La Carte — Early Access
Lana is an AI assistant that knows your Limo Anywhere setup. Her biggest strengths are getting Lead Quote Close set up quickly and analyzing your lead and booking data in detail. Ask her a question in your own words and she answers from your own data, showing the trips or records behind every number. When you ask for a change, she prepares it and shows you exactly what will happen. An administrator approves every change before it takes effect, and most changes can be undone.
Lana is available through early access. To have her turned on for your company, email our support team at support@limoanywhere.com. After she is on, open her from the Ask Lana buttons on pages such as Lead Quote Close setup, Quickbooks Integration and Manifest Upload. Lana works with the features included in your plan.
You can attach pictures, PDFs and spreadsheets (.xlsx or .csv) to a chat. When you come back after a break she starts a fresh chat, and picks up where you left off when a question or change is still waiting on you. Administrators can see how much Lana is used each month and set monthly limits for the company and for each person. To set limits, contact support.
Set Up Lead Quote Close Quickly
Start with "Where do I start?" and Lana checks everything Lead Quote Close needs before your customers can get instant prices, then walks you through each gap.
- A full setup check — vehicle categories (pictures, capacities, descriptions and pricing), company location details, your Mapping to Limo Anywhere, quoting settings and the booking forms on your website. She can shrink oversized vehicle pictures for you.
- Rates from your own words — describe how you price, or paste or photograph a price list, and Lana builds the rate sheets. She sets up zones, airport and flat zone-to-zone fares, out-of-town and account pricing, and can make one vehicle type price exactly like another.
- Extras and adjustments — upgrades customers pick at checkout, gratuity, fees and taxes, surcharges for dates, events, times of day or places, and promo codes for the customers you choose.
- Change rates you already have — widen or narrow when an existing rate applies ("add YYZ and YVR to my airport arrivals rates") instead of adding a second rate.
- Vendor price lists — attach a vendor's spreadsheet and Lana sets up per-passenger airport rates and adds the vendors as partners. Her preview shows exactly what each party size pays.
- Booking forms that match your website — create or change a form, choose what it asks, and style it with a live preview before anything is saved.
- Test before it is live — price a test trip, and ask Lana to explain exactly how any quote was priced.
Analyze Your Leads and Bookings
- Your funnel — from website visitors to quotes to bookings, with the report open beside the chat.
- Leads that got no instant price — "Which customers didn't get a price?" lists them with the setup gap behind each one, so you know what to fix.
- Are your prices winning? — compare close rates and prices by vehicle, area, account or price range. Ask "Are my prices too high?"
- Any customer's history — look up a customer's leads and quotes.
- Trips and revenue — count and total trips, passengers, hours and revenue by day, week, month, driver, vehicle, client, affiliate or state. Revenue includes late-cancellation charges, in line with your Limo Anywhere Revenue report.
- Chauffeur totals — gratuity and garage hours for any chauffeur or the whole team, for any period.
- Your report pages, ready to read — ask for the TLC, on-time, sales revenue or top customers report, among others, and Lana opens it beside the chat for the period you name.
Plan Your Day and Your Drivers
- Ask who is working — who is on Saturday, who is clocked in now, who is close to overtime or their hours-of-service limits, who can drive the Sprinter, and exactly why a driver was not offered a trip.
- Change driver schedules — "Sara is off the 20th to the 24th", "Mike works 6 AM to 4 PM tomorrow", "put Dave on Monday to Friday every week" or "let Dave drive the Sprinter". Lana also points out any booked trips the change leaves uncovered.
- Draft tomorrow's schedule — Lana drafts who drives what, with each chauffeur's hours, overtime and the cost of the day, and lists anything nobody can cover so you know what to farm out. The plan opens beside the chat as a timeline. She builds on the drivers your team has already drafted onto trips, and you can also ask which days next week are short of drivers.
- From draft to drivers — put the plan on your scheduling board as suggestions for your team to review, then send each trip to its driver in the Driver Anywhere app. The trips nobody on your team can cover can go to your affiliates through Auto Farm in the same approval.
- Re-offer declined trips — find another driver for a trip a driver declined, or an offer nobody has answered as pickup gets close.
- Farm out on request — "send 12345 to Elite" prepares the farm-out the same way as the Farm button on Affiliate Lookup, with or without Auto Farm turned on.
- See and set the planner's numbers — what an empty mile costs, how much a vehicle switch is worth avoiding, whether a bigger vehicle can run a smaller booking, and whether planned trips are offered or assigned.
Day planning and the scheduling board use Dynamic Driver Scheduling (Black).
Trips and Imports
- Turn a manifest into trips — attach a passenger list or event manifest, spreadsheet or PDF. Lana tidies phone numbers, dates, times and flights, groups people who ride together, flags passengers who look booked already, and fills in Manifest Upload for you to review and import.
- Find trips — "tomorrow's trips for one of our clients" or "trips this week with no driver". To let a role search trips through Lana, contact support to give it the Trip search permission.
- Find out what happened on a trip — "what happened on conf 71343?" brings the trip's history from Limo Anywhere and your own records into one timeline, and points out what stands out.
- Check your work lists — "what's on my work lists?" or ask for one list by name.
- Moving to Limo Anywhere — attach an export from your old system and Lana tells you which columns become which Limo Anywhere fields and what to tidy up first. Sensitive columns such as card numbers and passwords are never imported.
Partners and Farm-Outs
- Ask which partners cover a city, a place or one of your service areas, and have Lana set partners up on their service areas with the right vehicle types.
- Add new partner companies to Limo Anywhere, and update their name, contacts and address.
- Set naming rules, so a partner named with an airport code such as "MSY VIP Greeter" is placed on that airport's service area automatically.
Passenger Surveys
- Check your survey — how it is sent, what it asks, who hears about a low rating, and anything that stops surveys reaching passengers.
- A survey look for each location — logo, colors, thank-you message and review links.
- Drivers who need attention — the chauffeurs, vehicles or locations that get low ratings more often than the rest of your company, with the trips behind it.
- What passengers are saying — a summary of survey comments, and an optional weekly survey digest by email every Monday.
Choose whether Lana reads passenger comments, what counts as a low rating, and who gets the weekly digest in the new Lana Insights section of the Passenger Survey settings page.
Fuel
Ask "fuel spend by vehicle last month" or "average price per gallon by month", or ask Lana to check your fuel for misuse. She looks for fills far from the vehicle's GPS position, more gallons than the tank holds, fills too close together, premium bought for a vehicle that runs on regular, and fills recorded twice.
QuickBooks, Email and Chargebacks
- QuickBooks — check your setup, find out why an invoice did not reach QuickBooks, preview an invoice before it is sent, and set up your sync and product mapping by trip type.
- Email delivery — find out why a customer did not get an email, check your email setup, send yourself a test, and prepare fixes such as a new sending address or your own sending domain.
- Chargebacks — paste the chargeback email and attach the PDF from your processor, and Lana gathers the proof for that trip and drafts a response letter you can edit and download with its exhibits as one PDF. She also answers card-network rule questions, such as how long an authorization lasts or what your authorization form may say, and checks your card authorization terms.
Wake-Ups and Your Plan
- Driver wake-up calls — how your wake-ups work, who gets woken tomorrow, and why a chauffeur got a call when they did.
- Your plan — what your plan includes, what an upgrade would add, and what pay-as-you-go features such as GNet, GroundXchange and text messages cost you recently.
Much More to Come
This first release only scratches the surface of where Lana is heading. With every release she learns more of Limo Anywhere and takes on more of the day-to-day work of running your business, so expect her to keep growing. If there is something you wish Lana could do for you, tell us when you request early access. Your ideas help decide what she learns next.
Communications
- Texts that could not be sent now show the reason on the customer's SMS tab, for example "Not sent: the recipient replied STOP", with a Retry link where sending again can help. (All Tiers)
- Aircall texting — if your team uses Aircall, your trip notifications, reminders and replies can text from your Aircall number. Set it up in your AddOns settings, on the SMS tab, in the Aircall section. (A La Carte, Messaging Manager)
- Screen Pop shows caller details more consistently and shows each incoming text once. (Plus)
- Drivers now get a single copy when the same Limo Anywhere notification is sent to them several times in a row. (All Tiers)
Work Lists — Plus
Work Lists show the trips somebody still has to act on, and can follow up for you.
- Ready-made readiness checks — each has a Configure button so you can review which trips it covers, its reminders and who can see it before it starts.
- Affiliate driver details by link — when you farm out a trip and the affiliate has not sent their driver yet, the Affiliate driver details missing check can ask them automatically. Each reminder carries a secure link where the affiliate enters the driver's name, mobile number, vehicle and plate, with no login. The details go straight onto your reservation and the reminders stop on their own.
- Reminders that reach people more than one way — a push to your driver's app with a one-tap Confirm button, a text, an email, a WhatsApp message from your approved templates, or an automated phone call where the person presses 1 to confirm or 2 to report a problem. If one way does not get through, the reminder moves on to the next.
- Preferred channels — set an affiliate's preferred channel (email, text or WhatsApp) on the affiliate's page, and mark drivers "WhatsApp OK" on their employee page.
- Declined and unanswered offers — two new checks list trips a driver declined, and offers nobody has answered as pickup gets close.
- Easier editing — see how many trips a list holds as you change it, pick filters as tags, and set up each reminder with an On/Off switch and an email editor.
The affiliate portal page also gained vehicle, plate and car phone fields, and saving one detail leaves the others as they were.
Dynamic Driver Scheduling — Black
A New Scheduling Board
Dynamic Driver Scheduling now opens the new scheduling board. Drag trips onto drivers or vehicles to draft them, let Suggest fill in the rest using your scheduling rules, and send them to your drivers as offers to accept in Driver Anywhere or as assignments. Every trip shows whether its driver has accepted, declined or not yet answered, and rest time between shifts shows on each driver's row. Drag the row of hours to look up to 12 hours into the evening before or the morning after.
Availability, Made Easier
- A fresh Availability calendar — click any day to add availability, or click a shift to change only that shift. Overnight shifts show once, on the day they start, and a whole day can be marked as time off right from the calendar.
- One page per person — click a name to set up that person's month, weekly pattern and time off. Changing a weekly pattern keeps the upcoming days in step, while days changed by hand and time off stay as they are.
- Weekly availability deadline — have drivers set next week's availability by a time you choose, see who hasn't, and send them a reminder. In Dynamic Driver Scheduling, open the Availability calendar and click Weekly deadline.
Locations and Hours of Service
- Dispatch Reach — a new company location setting lets a nearby location take pickups a little outside its service region, so the nearest car goes. The Service Region can now be left empty.
- Not regulated drivers — drivers that hours-of-service rules do not cover can be marked "Not regulated" in their DOT Driver Profile. Contact support to set this for a driver.
- Scheduling and vehicle maintenance pages open faster for fleets with GPS tracking.
Compliance Management — Plus
- One set of hours-of-service rules — federal, Alaska, California, Texas and NYC TLC rules, including 150 air-mile short-haul drivers, now live in one place and apply the same way to driver time records, dispatch, payroll and scheduling. The DOT driver profile on an employee offers every ruleset.
- Driver time records under Compliance open smoothly for every driver and show the current short-haul statement.
- Affiliate compliance reminders and expiry alerts go out more consistently, vehicle document uploads attach more reliably, and a driver's prior-hours entries line up with the dates shown.
Fleet and Fuel — All Tiers
- Coast fuel cards — connect your Coast account in your AddOns settings, on the Fuel tab, and fuel purchases flow into your fuel records automatically, matched to the right vehicle by VIN or plate and to the driver who fueled. The last 90 days load right away. Use Check driver matching and Check vehicle matching to confirm or correct matches.
- Fuel alerts — a rule can now run on each new fuel entry, for example to alert you to a purchase that does not match one of your vehicles. Contact support to set one up.
Lead Quote Close — A La Carte
AI Booking Assistant
- Book on Account — a new switch lets your AI booking assistant book account customers who call from a verified number on file and give them a confirmation number right away, with no payment link needed. It is off until you turn it on. In Lead Quote Close, open Capture > AI Agents from the menu at the top of the page.
- Each rider's usual vehicle — customer profiles can hold a preferred vehicle, and the assistant offers it first. Set it under the customer's AI Agent Preferences, or leave it blank to use their recent rides.
- Better with places — the assistant recognizes hotels, venues and airports more reliably, including airports outside your local area, and keeps suite numbers with the address.
- Smoother conversations — it keeps the passenger count and stops riders mention up front, and handles a city name on its own more naturally.
More Lead Quote Close Improvements
- Track each form as its own conversion — lead and booking events from your quote forms now include the form they came from (
form_idandform_name), so Google Tag Manager can count each form separately. - Line items to the right rate line — choose the Limo Anywhere rate line a line item's charge goes to, right on the line item page. In Lead Quote Close, open Pricing > Line Items from the menu at the top of the page.
- Current rate names — charges on online bookings always show the current names of your Limo Anywhere rates, so a renamed fee or tax reads the new way on every new receipt.
- Smoother saving and vehicle cloning on the Excursion form for trips with many vehicles.
Auto Farm — Black
- Partner pages in their own words and language — the pages your partners open from your links can say "Greeter" instead of "Driver", show in Spanish, French, Portuguese, Italian or German, and hide fields they do not need. In Auto Farm, click Affiliate page wording.
- A "Send from" address per template — each Auto Farm email template can have its own sender, and farm-out offers otherwise come from the email of the location the trip belongs to. Contact support to give a template its own sender.
- Auto Farm offer emails always show the trip's pickup date, and can greet each affiliate by name.
Trips, Affiliates and Emails — All Tiers
- Affiliate details stay in step — changes to an affiliate's name, address, contact email or phone made in AddOns now update the affiliate in Limo Anywhere too.
- Trip emails from the right location — trip emails and texts that use your company location details show the name, phone, email, website and logo of the location the trip is booked under, including trips booked in Limo Anywhere.
- Dates the way you write them — trip emails can show dates as "November 5, 2026", "5 November 2026" or "2026-11-05" on the local clock where the trip happens, plus a single airport line with the flight or "curbside". Contact support to add these to your emails.
Imports — Core
- Group Travel uploads can hold several shared rides in one file with a Trip Group column, and group trips carry the full passenger count of the group.
- Local phone numbers — Manifest Upload understands phone numbers written the local way in your country, so local mobile and landline numbers import without adding the country code.
Integrations
QuickBooks — Plus
- Send History — pick a date range and choose which past trips, invoices and payments to send to QuickBooks. Anything already there is matched instead of added twice, and each record shows its progress as it sends. In Quickbooks Integration, click Send History under Stats.
- Payment method mapping — every Limo Anywhere payment method has its own QuickBooks match. Several can share one QuickBooks method, and any can be left unmapped. In Quickbooks Integration, look in the Map Payment Methods section.
- Payments waiting to reach QuickBooks show on the Failures page with the reason and a Retry payments button. In Quickbooks Integration, click Failures under Stats.
GroundXchange — A La Carte
- Trips you farm out over GroundXchange only send your affiliate an update when something they need changes, such as the pickup time, address or passenger details.
- Giving a farm-out back to the same affiliate after it was cancelled now sends them a fresh booking.
Holiday Taxis — A La Carte
- Fetching bookings brings in every upcoming booking on busy days, notes open right in the queue, bookings are listed by service date, and vehicle suggestions are only saved when you choose them.
Portals, Crew Link, Wake-Ups and Surveys — Plus
- Change without cancel — booking portal accounts can be allowed to change their reservations without also being allowed to cancel them. In Custom Booking Portals, edit a portal and look in its trip history options.
- Wake-ups in the Driver Anywhere app — wake-up reminders can reach drivers as an app notification with a one-tap confirm button, alongside or instead of text. When several drivers have not confirmed at the same time, you get one call listing them all. Choose app notification, text or both in Driver Wake-Ups.
- Crew Link finds crew rides more reliably, matches flight numbers with or without leading zeros, and shows the vehicle's location pin more consistently.
- Creating a new client portal from an existing one is smoother for companies that have not added a portal header image, and account filtering on the Passenger Survey page is smoother for companies with many accounts.
Shuttle — A La Carte
- Smoother shuttle booking on phones: choosing a pickup location takes riders straight to the time choice, and each booking step stays in view.
